USAID’s SEGAR Activity seeks to advance Indonesia’s own development goals of balancing biodiversity conservation and sustainable land use with inclusive economic and livelihoods development. USAID SEGAR contributes to the 2020 – 2025 USAID Indonesia Country Development Cooperation Strategy, Development Objective 3: Environmental Sustainability Improved, and Intermediate Result 1, Natural Resource Management Improved.
To achieve the overall goal, USAID SEGAR will achieve the following two objectives:
- Strengthened inclusive environmental governance in targeted subnational jurisdictions that advance biodiversity conservation, sustainable forest management, and sustainable land use.
- Increased implementation of environmental and social sustainability goals within private sector natural resource commodity production supply chains that reduces threats to biodiversity and greenhouse gas emissions from land use.
USAID SEGAR works in four regions with a total of twelve intervention districts:
- Aceh: Aceh Tamiang, North Aceh, East Aceh.
- West Kalimantan: Ketapang, Kubu Raya, Sanggau, Sintang.
- East Kalimantan: Berau, East Kutai, Mahakam Ulu.
- Central Kalimantan: Seruyan, West Kotawaringin.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Supports Site Manager in hosting project visitors and arranging meeting details.
- Lead in administration work; maintaining incoming/outgoing letter, updating local vendor database, updating inventory database, and keeping a clear and organized filling system in place for all in-bound correspondence.
- Coordinate all logistical aspects of project administration including arranging travel, processing travel clearances and fielding consultants.
- Fulfil office management duties including answering phone, photocopying, ordering stock office supplies and workshop materials, etc.
- Label and maintain all administrative files including travel clearances/itineraries, consultant transport and lodging information, and all other non-accounting related documentation.
- Collaborate and coordinate with Jakarta office in the administration work of letter drafting, issuance, distribution to the respective partners, stakeholders, and Government’s institutions.
- Liaise with local vendors/suppliers, particularly regarding invoice submission and coordination of other administrative matters.
- Serve as leader of administration and logistic in the events hosted by SEGAR; ensure all preparations are complete and the coordination with venue team/event organizer is clear to have a smooth event.
- Coordinate with Finance & Operations team of Jakarta Office in the distribution of withholding tax slip to all local STTA, consultants, participants, vendors/suppliers.
- Provide administrative support to the Site Manager and fulfil other administrative functions to Jakarta Office as required and acknowledged by Site Manager.
JOB REQUIREMENT
- Preferred resides within the Samarinda city or activity operations.
- At least bachelor’s degree preferably with specialization in management.
- At least minimum two years of working experience in clerical, administrative, procurement and office management.
- Knowledgeable in office administration and basic financial systems.
- Effective verbal and written communication skills.
- Excellent interpersonal and organizational skills.
- Excellent attention to detail.
